Overview

Position Summary


As the recruiting coordinator for Prime Controls, you will support the hiring efforts of our team throughout the U.S. You will be a vital part of creating an excellent candidate experience by scheduling and managing interviews, as well as providing administrative and organizational support to recruiting. 

Key Responsibilities


  • Create the best candidate, recruiter, and hiring manager experience by proactively and seamlessly scheduling interviews across a variety of roles. 
  • Relay candidate feedback to recruiters to improve overall hiring process. 
  • Manage interview cancellations, changing schedules and any other interview challenges. 
  • Create itineraries for candidates for onsite interviews. 
  • Provide the team with detailed weekly interview reports. 
  • Ensure appropriate candidate handover for onboarding. 
  • Assist with career fair and college recruitment scheduling, ordering of materials and other related support. 
  • Provide program support on recruiting projects. 
  • Set up and manage temporary contractors. 
  • Assist with a variety of tasks including travel and expense support, presentations, additional reporting, and social media posts. 

Qualifications


Required 

  • Schedule and coordinate interviews across multiple departments and locations, ensuring accuracy and a seamless candidate experience. 
  • Confirm candidate availability and send detailed interview confirmations via phone, email, and text. 
  • Partner with recruiters and hiring managers to understand scheduling needs, interview panel preferences, and timelines. 
  • Prepare and distribute interview guides and candidate resumes to interviewers ahead of schedule. 
  • Manage candidate travel and reimbursement logistics as needed. 
  • Track interview progress and status updates in the applicant tracking system (iCIMS). 
  • Ensure professionalism and consistency in all candidates and hiring manager communications. 
  • Serve as a candidate point of contact to provide updates, answer logistics questions, and reinforce our company culture. 
  • Maintain data accuracy and compliance in recruitment systems and documentation. 
  • Support recruiting events, campus visits, and career fairs as needed. 
  • Proactively identify and escalate scheduling conflicts, delays, or communication breakdowns. 
  • Assist with onboarding preparation and documentation for new hires. 

Preferred 

  • Experience coordinating interviews for technical roles or in a high-volume recruiting environment. 
  • Familiarity with Teams, Outlook calendars, and remote/video interview platforms. 
  • Bachelor's degree in human resources, Business Administration, or related field preferred but not required.
