Overview

Position Summary

As the Corporate Events Coordinator, you will support the planning and execution of Prime Controls’ employee and customer events, helping to bring our culture and client relationships to life through engaging and well-organized experiences. Working closely with the Corporate Events Supervisor, you’ll handle logistics, vendor coordination, and communications to ensure every event runs smoothly and reflects Prime’s values of safety, integrity, teamwork, and excellence. This role is ideal for a detail-oriented and creative professional who enjoys managing projects from concept to completion and thrives in a collaborative environment. 


Key Responsibilities

  • Coordinate logistics for company events, meetings, and celebrations, including scheduling, venue setup, catering, and vendor communication. 

  • Assist with planning and execution of customer-facing events such as trade shows, conferences, and client appreciation gatherings. 

  • Prepare event materials, signage, and internal communications in partnership with HR and Marketing. 

  • Track event budgets, invoices, and purchase orders while maintaining organized records in SharePoint. 

  • Support day-of-event operations including registration, hospitality, and troubleshooting. 

  • Collect and summarize event feedback to assist the Supervisor in evaluating success and identifying areas for improvement. 

  • Maintain and update the corporate events calendar and department documentation. 

  • Perform additional administrative and coordination tasks as assigned to support department goals. 

Qualifications 

Required 

  • 2–4 years of experience in event coordination, hospitality, marketing, or administrative support. 

  • Strong organizational and time management skills with the ability to juggle multiple priorities. 

  • Excellent written and verbal communication skills and professional presence. 

  • Collaborative, positive, and flexible attitude with a focus on providing outstanding service. 

  • Ability to lift up to 25 pounds and support occasional travel or after-hours events as needed. 

Preferred 

  • Proficiency in Microsoft Office Suite; experience with SharePoint or event management software. 

  • Experience managing vendors, contracts, and budgets.
