Overview

Position Summary

The Learning & Development Coordinator supports the daily administration and delivery of Prime Controls' learning and development programs. This role manages learning system assignments and records, coordinates training logistics and communications, supports onboarding and companywide initiatives, and assists employees, managers, instructors, and training partners across office and project locations.

Key Responsibilities

  • Administers the learning management system, including learner accounts, profiles, enrollments, assignments, learning plans, sessions, completion records, and routine data updates.
  • Creates and updates accounts for new hires and assigns required training based on onboarding schedules, job responsibilities, work location, and direction from the L&D Program Manager.
  • Monitors required course completion, upcoming expirations, annual re-enrollment, and overdue assignments; sends reminders, escalates unresolved gaps, and maintains supporting records and certificates.
  • Prepares recurring and ad hoc reports on enrollment, attendance, completion, compliance, learner feedback, and other program measures for the L&D Program Manager and business partners.
  • Serves as a primary point of contact for training-related questions, troubleshoots basic system and enrollment issues, and coordinates with HRIS, Information Technology, or the system vendor when additional support is needed.
  • Communicates training requirements, schedules, enrollment instructions, reminders, cancellations, and program updates to employees and managers across office and project locations.
  • Coordinates in-person and virtual training logistics, including calendars, invitations, room reservations, virtual meeting links, attendance tracking, materials, equipment, and instructor support.
  • Partners with Human Resources, Safety, Operations, and subject matter experts to coordinate required, role-specific, and professional development training.
  • Supports onboarding and new hire training by confirming schedules, assignments, facilitators, materials, attendance, and completion requirements.
  • Manages employee registration and related documentation for external training providers and confirms enrollment details with employees, managers, and vendors.
  • Uploads and organizes approved course materials, descriptions, resources, and other content in the learning management system and maintains current versions as directed.
  • Supports training needs assessments and program planning by collecting requests, organizing stakeholder input, and summarizing common needs or trends.
  • Distributes surveys and assessments, compiles participant feedback, and prepares results to support evaluation of training effectiveness and program improvements.
  • Maintains training calendars, shared files, templates, standard communications, and supplies and supports program launches, record audits, process improvements, and other assigned learning and development projects.

Qualifications

Required

  • High school diploma or equivalent.
  • 2 years of experience in training coordination, learning management system administration, human resources administration, program coordination, or a related role, including responsibility for maintaining records and data.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, Word, and Teams.
  • Strong organizational skills and attention to detail, with the ability to manage multiple schedules, deadlines, records, and follow-up activities.
  • Clear written and verbal communication skills and a service-oriented approach when assisting employees, managers, instructors, and vendors.
  • Ability to handle employee and training information with discretion and maintain accurate, confidential records.
  • Ability to work independently, follow established processes, identify issues, and collaborate with teams across multiple locations.

Preferred

  • Associate or bachelor's degree in human resources, organizational development, business administration, education, or a related field.
  • Experience administering Docebo or another learning management system.
  • Experience coordinating instructor-led, virtual, or external training programs and supporting compliance training and audit-ready records.
  • Experience in a multi-location construction, engineering, industrial, or project-based organization.

Work Environment & Physical Demands (Text Only)
